Administrative Operations Assistant

Reports to Chief Executive Officer

Living In Victory (LIV) Recovery is seeking an Administrative Operations Assistant to serve a community of people living with mental health and substance use disorders in the early action stage of treatment. Living In Victory Recovery is a 501c3 non-profit organization with a smaller staff fully committed to the population we serve. LIV cultivates a professional collaborative which seeks to celebrate the strengths of employees; our community emphasis prioritizes program and facility quality with a focus on opportunities to learn and grow as individuals and as an organization.


  • Provide daily support of office functions including accepting calls, filing, copying, and scheduling.
  • Solicit donations and partnerships with community organizations
  • Identify continuing education opportunities to promote professional development of fellow staff
  • Lead oversight and maintenance effort of all facility operations equipment
  • Maintains office supply inventory by anticipating needs and accepting requests for timely orders
  • Collaborate with executive leadership staff to contribute heavy efforts toward quality assurance
  • Utilize Electronic Medical Record to gather and analyze data for quality assurance reporting
  • Conduct routine, internal documentation review and provide formal feedback to staff members
  • Identify workflow issues and innovating in-house resolution
  • Oversee quality standards, document quality assurance activities, and create audit reports
  • Present report findings and trends to fellow team members at weekly all staff meetings
  • Submit billing documents and service reporting as required by Department of Mental Health
  • Assist in protocol development and improvement for client centered operations
  • Complete one on one follow up interviews with clients previously engaged in LIV services
  • Document interactions with potential, current, and former clients
  • Collaborate with executive staff to compile training manuals and best practice support
  • Continuously research to develop an evolving list of area resources to address client needs
  • Contribute to additional tasks as requested

Education and Experience:

  • Two (2) years of experience in quality assurance or similar role (preferred)
  • One (1) year of experience in administrative assistant, office manager, or similar role (preferred)
  • Direct or indirect experience with substance use disorders (preferred)
